The packaging desk / Working resources

Get your packaging records ready for the next conversation.

Three practical resources for three different jobs: measure the quantities, compare proposals and resolve missing evidence. Open a text worksheet to read and copy into your own records, or print this guide.

For operations / A reusable weight record

Know what goes into each shipment.

Use one record for each component, destination and period. Capture the packaging version and how the weight was obtained, so another person can reproduce your total.

  1. Weigh packaging separately from the product.Record grams, component count per shipment, sample size and measurement date. Mark supplier estimates as estimates.
  2. Multiply by the relevant shipment count.Grams × components per shipment × shipments ÷ 1,000 = kilograms. Do not count a shared outer box once for every product inside.
  3. Keep materials separate.Confirm the classification and reporting scope separately. Physical mass alone does not decide your obligations.
Invented example · 1,000 shipments

A small parcel, item by item

One 120 g box → 120.000 kg
One 10 g paper filler portion → 10.000 kg
One 2 g tape portion → 2.000 kg

Paper/cardboard: 130.000 kg.
Plastic: 2.000 kg.
Total physical mass: 132.000 kg.

Training quantities only. Keep the material subtotals for review; do not file the mixed total as one category.

For purchasing / A comparable brief

Compare the assumptions before the totals.

Give each provider the same destination, period, materials and quantities. Record what each proposal actually includes before deciding whether two totals are comparable.

Common mismatch: one proposal covers only a material quantity and another includes additional services. A lower headline total does not settle that comparison. A public fee from a different country is not a German quotation.

For account handover / An evidence trail

Separate a missing document from a verified fact.

When a marketplace, colleague or provider asks about your records, gather the evidence in three groups. Give each source a date, filename and named internal reviewer.

A · Registration

Match the company.

Record the official source, number, company details and check date. A number with the right format is not a confirmed company match.

B · Participation

Locate the agreement.

Record the system operator’s confirmation, entity, registration number and period. ZSVR says the register excerpt does not prove this agreement exists.

C · Quantities

Explain differences.

Compare period, materials and kg across your worksheet and source records. Describe each mismatch and what evidence would resolve it.

  • Use matched, mismatch, not checked or unresolved; do not turn “not checked” into “passed”.
  • Keep completed documents in your own secure storage. Opening the text resource does not upload or send your records.
  • Close a question only when the relevant source record resolves it. This worksheet is not a compliance certificate.

What comes from the sources?

  1. ZSVR — Data reportingRead 30 October 2026. Identifies the period, system operator, material types and packaging mass; quantities are entered in kilograms to three decimal places. It also explains the importance of a matching registration number. Check the official page for requirements and schedules applicable to your case.
  2. ZSVR — Checking a registration statusRead 30 October 2026. Explains that the register excerpt does not show whether a system participation agreement exists, and that system operators provide confirmation to their clients.

The templates, sample quantities and proposal-comparison questions are EPRCheck’s own editorial aids. They are not official forms, do not replace an applicable reporting process and do not determine legal obligations.
